Festival Toilet Hire: How to Plan Sanitation for Outdoor Events

How do you plan festival toilet hire? Start with one portable toilet per 100 guests for events lasting 6-8 hours, add 20% if alcohol is served, and arrange daily servicing for any event running longer than one day. Standard portable toilets cost from around £120 per unit for delivery, with weekly servicing from £22 per unit. Luxury trailers for VIP areas range from £300 to £750.

Getting toilet provision right at a festival matters more than most organisers expect. Poor sanitation is consistently the number one complaint at outdoor events. Getting it wrong affects your reputation, your reviews, and whether people come back next year. This guide covers everything you need to plan toilet hire for any outdoor event, from village fetes to multi-day music festivals.

How Many Toilets Do You Need?

The right number depends on three things: how many people are attending, how long the event runs, and whether alcohol is being served.

For a standard outdoor event lasting 6-8 hours without alcohol, plan for one toilet per 100 guests. That gives you these rough numbers:

  • Up to 100 guests - 1 unit
  • 100-200 guests - 2 units
  • 200-300 guests - 3 units
  • 300-500 guests - 4-5 units
  • 500+ guests - contact your hire company for a tailored plan

If alcohol is being served, add 20% to those numbers. Alcohol increases toilet usage significantly, and queues build up fast during peak times between acts or at halftime.

For events lasting longer than 8 hours, add another 25% on top. All-day festivals that run from midday to midnight need substantially more capacity than a 4-hour afternoon event.

Types of Units for Festivals and Events

Standard Portable Toilets

The workhorse of festival sanitation. Self-contained, no power required, quick to deploy. These work for general attendee use at community events, county shows, sporting events, and music festivals. They arrive fully stocked with toilet rolls and hand sanitiser.

Luxury Toilet Trailers

For VIP areas, hospitality enclosures, and premium events where the standard portable experience is not good enough. Luxury trailers include flushing toilets, hot running water, mirrors, interior lighting, and sometimes climate control. They serve multiple people simultaneously with separate cubicles.

Accessible Units

Every public event should provide accessible toilet facilities. These larger units have wide-access doors, grab rails, and lowered fixtures to accommodate wheelchair users and people with mobility needs. They meet BS 8300 requirements and should be positioned alongside your standard units.

Hand Wash Stations

Standalone hand washing facilities are important at any event with food and drink service. Food hygiene regulations require hand washing near food preparation and serving areas. Even without a legal requirement, providing proper hand wash stations shows attendees you take hygiene seriously.

Multi-Day Event Servicing

Single-day events are straightforward - units arrive clean and stocked, and they get collected afterwards. Multi-day festivals are different. Without scheduled servicing, toilets become unusable by day two.

For events lasting two days or more, arrange daily servicing as a minimum. Each service visit includes emptying waste tanks, refilling water and consumables, and cleaning all surfaces. For large festivals with high footfall, twice-daily servicing keeps things manageable during peak periods.

Work with your hire company to schedule service visits around low-traffic times - early morning before gates open, or during quieter periods when fewer people are on site. Service vehicles need clear access to reach every unit, so factor this into your site layout planning.

Positioning and Site Layout

Where you put the toilets matters almost as much as how many you have. Get the positioning wrong and you end up with bottlenecks, complaints, and units that are underused while others are overwhelmed.

Spread units across the site rather than clustering them all in one location. Place groups of toilets near high-traffic areas - stages, food courts, bars, entrance and exit points. Make sure they are signposted clearly so people can find them without wandering the entire site.

Keep toilets at least 20 metres from food preparation and serving areas. Position them on firm, level ground where possible - soft ground after rain can cause problems, especially for heavier luxury trailers. Make sure there is vehicle access for servicing, because if the service truck cannot reach the units, they cannot be emptied.

What to Budget

Toilet provision typically represents 2-5% of an outdoor event budget, depending on the scale and standard of facilities provided. Here are the main cost elements:

  • Standard portable toilet delivery - from around £120 per unit
  • Weekly servicing - from around £22 per unit
  • Luxury toilet trailers - £300 to £750 per hire
  • Accessible units - from around £45 per week
  • Hand wash stations - quoted separately based on requirements

Multi-day events cost more because of the daily servicing, but this is not optional. Skipping servicing to save money will ruin the attendee experience and could create a health hazard.

Common Mistakes to Avoid

Underestimating numbers is the most common mistake. It is better to have one too many toilets than one too few. The cost of an extra unit is minimal compared to the reputational damage from long queues and dirty facilities.

Not planning for accessible facilities is another frequent oversight. Accessibility is a legal requirement at public events, and it is the right thing to do regardless.

Leaving servicing arrangements until the last minute causes problems. Book your toilet hire early, especially for summer events when demand is highest. Confirm servicing schedules well in advance so your hire company can plan their routes and crew.
